Booking Terms & Conditions
Please read the following Terms & Conditions carefully before booking your tour or event with Travel With Lesley Whyte Ltd. Payment of your deposit and/or final balance confirms your acceptance of these Terms & Conditions.
Booking & Payment
• A non-refundable deposit, full payment, or payment plan (as specified within the individual tour or event listing) is required to secure your place.
• Final balance payment is due by the date outlined within the individual tour payment schedule.
• Failure to pay the balance by the due date may result in cancellation of your booking and forfeiture of monies paid.
• Prices are quoted as outlined on each individual event or tour listing and may be in New Zealand Dollars (NZD), Australian Dollars (AUD), British Pounds (GBP), United States Dollar (USD) or other specified currencies.
Cancellation by Traveller
• Deposits are non-refundable.
• Once the final balance or full payment has been made, cancellation refunds (less deposit) will only be provided if your place can be resold.
• Name changes or substitutions may be permitted, subject to supplier, airline and operational conditions, and may incur amendment fees.
• No refunds will be made for unused portions of the itinerary, voluntary withdrawal, late arrival or early departure.
Cancellation by Travel With Lesley Whyte
• Should Travel With Lesley Whyte Ltd cancel a tour or event, all monies paid will be fully refundable or transferable to another Travel With Lesley Whyte tour or event.
• Travel With Lesley Whyte Ltd is not responsible for additional expenses incurred by clients in preparation for travel, including but not limited to visas, vaccinations, accommodation, meals, connecting flights or independently booked services.
Travel Insurance
• Comprehensive travel insurance is strongly recommended for all tours and mandatory for selected itineraries as specified within the individual tour listing.
• Domestic travel insurance is strongly recommended for travel to the Chatham Islands.
• Insurance should provide coverage for cancellation, medical expenses, personal belongings, travel delays, weather disruptions, evacuation costs, and additional accommodation or meal expenses where applicable.
Schedule Changes, Delays & Additional Accommodation
Travel to remote and regional destinations can occasionally be affected by circumstances outside the control of Travel With Lesley Whyte Ltd, including but not limited to airline schedule changes, ferry or ship disruptions, rail delays, adverse weather conditions, operational requirements, or force majeure events.
Should any such disruption necessitate additional overnight accommodation, transfers, meals or related expenses, Travel With Lesley Whyte Ltd will endeavour to assist by coordinating suitable group accommodation and services using contracted group rates wherever possible.
• Any additional costs incurred as a result of these disruptions remain the responsibility of the traveller.
• These expenses should be claimed through the traveller’s own comprehensive travel insurance policy.
• As Travel With Lesley Whyte Ltd operates on back-to-back contractual arrangements with airlines, accommodation providers, ferry operators, rail companies, restaurants and other suppliers, no refunds or credits will be provided for unused accommodation, meals, transport or inclusions where disruptions occur outside of our control.
Itinerary Changes
• Travel With Lesley Whyte Ltd reserves the right to amend itineraries, accommodation, transport, guides, activities or inclusions due to weather conditions, operational requirements, safety considerations, supplier availability or circumstances beyond our control.
• Every reasonable effort will be made to provide a comparable alternative experience where necessary.
Health, Fitness & Personal Responsibility
• Clients are responsible for ensuring they are medically and physically fit to participate in their chosen tour or event.
• Some tours involve walking on uneven terrain, remote travel, outdoor activities and variable weather conditions.
• Clients are responsible for handling and managing their own luggage throughout the tour, including airline check-in, movement of luggage to and from hotel rooms, and loading luggage onto coaches or other transport where applicable.
• Any medical conditions, mobility concerns, allergies, injuries or dietary requirements must be disclosed at the time of booking so appropriate consideration can be given.
• Prior to departure, clients may be required to complete dietary, health and emergency contact forms.
Responsibility & Liability
• Travel With Lesley Whyte Ltd acts as an organiser of travel experiences and engages independent transport operators, accommodation providers, guides and activity suppliers.
• While every care is taken, Travel With Lesley Whyte Ltd accepts no liability for injury, illness, loss, damage, delay or additional expenses arising from events beyond its control, including weather events, supplier failures, transport disruptions, natural disasters or force majeure events.
Photography & Marketing
• During tours and events, photographs and video footage may be taken for promotional and marketing purposes.
• By participating in the tour, clients consent to the use of these images unless otherwise advised in writing prior to departure.
Pricing & Currency Fluctuations
• Prices are subject to change prior to confirmation due to supplier increases, fuel surcharges, government charges or currency fluctuations.
• Confirmed bookings will not be affected unless external supplier increases are imposed beyond our control.
Authority on Tour
• Clients agree to comply with the authority and decisions of tour escorts, guides and operators at all times.
• Behaviour deemed unsafe, disruptive or inappropriate may result in removal from the tour without refund.
New Zealand Consumer Law
These Terms & Conditions are governed by the laws of New Zealand. Any disputes arising shall be subject to the jurisdiction of the New Zealand courts.
